Your pharmacy
One screen for everything about the pharmacy itself: its details and opening hours, the AI phone line, its branches, and the keys outside systems use to reach it.
What it does
Pharmacy brings together what used to be split between Settings and a separate Branches page. Each part is a section down the left (a row across the top on a phone):
- Details & hours — the pharmacy's name, ODS code, numbers and opening hours.
- Phone line — the AI assistant's number, greeting, transfers and where prescriptions are read from. See Phone line.
- Branches — the other pharmacies in your group, on the Scale plan.
- Keys & integrations — keys for a PMR feed or another outside system. Most pharmacies never need one.
Settings now holds only what is about you and the plan: Account & security and Billing & plan.
Where to find it
- Header → your initials → Pharmacy (
/dashboard/pharmacy). - Each section has its own link: add
?tab=details,?tab=phone-line,?tab=branchesor?tab=keys. - Old links still work:
/dashboard/branchesand the old Settings links for Pharmacy, Phone line and Agent API keys open the matching section here.
Step by step
Check the details and opening hours
- Open Pharmacy → Details & hours.
- The Details card shows the name, ODS code, phone, transfer number, timezone, your role and whether vaccination booking is on.
- Under Opening hours, the owner sets each day's hours, with a lunchtime break if you take one. The assistant reads them to callers, and outside them the line is closed.
Set up a branch's hours and phone line (owner)
A branch has no staff of its own, so its owner sets it up from the group.
- Open Pharmacy → Branches and click Set up on the branch's row. Or, in Details & hours or Phone line, choose the branch in the Pharmacy list at the top.
- The section now shows that branch, and says Changes here apply to it only. Set its opening hours, and on Phone line its transfer numbers, greeting, recording and Patient and prescription data (its PMR).
- Choose your own pharmacy in the list to go back.
The branch's AI line number is set by PharmaLineAI, as for any pharmacy. Each change is recorded in the group's audit log with the branch's name. Branches and Keys & integrations always show the whole group.
Decide whether you need a key
A key lets a system outside PharmaLineAI act for one pharmacy — most often your PMR's feed, which sends prescription and patient updates in. Anyone holding a key can do that, so treat it like a password.
You don't need a key for the phone line. The AI assistant connects securely on every call by itself. Create a key only when your PMR supplier or IT team asks for one.
Create a key (owner)
- Open Pharmacy → Keys & integrations and click Create key beside the pharmacy or branch the system acts for. On Branches, the Create key button on a branch's row does the same.
- The dialog says what a key does and whether you need one, and names the keys that pharmacy already has. A new key is added beside them — they keep working.
- Say what will use it (for example "Titan PMR feed") and click Create key.
- Copy the key now. It is shown once only. If it is lost, create another and revoke this one.
- Give the key to whoever is connecting the system, through a secure channel rather than plain email or chat. They send it with every request as an
Authorization: Bearerheader, to the address the dialog shows under What to do next. - For a PMR feed, choose your PMR in Phone line → Patient and prescription data — the feed is refused until you do.
- Once the system first uses the key, a Last used date appears beside it.
Replace a key (owner)
When you are swapping a key in a system — because it leaked, or someone who had it left — create the new one with Replace them ticked. The pharmacy's other live keys are revoked the moment the new key is made, so anything still using them stops at once. Put the new key into the system straight away.
Revoke a key (owner)
Click Revoke beside the key and confirm. Anything using it stops working straight away, and it can't be undone — to reconnect, create a new key. The pharmacy's other keys are not affected.
What each section shows
| Section | What is in it | Who can change it |
|---|---|---|
| Details & hours | Name, ODS code, phone, transfer number, timezone, your role (or, for a branch, its group), vaccination booking, and the opening hours. | Opening hours: owner; the rest read-only |
| Phone line | The on/off switch, transfer number, what happens when you're closed, greeting, recording and where prescriptions are read from. | Owner |
| Branches | Each branch's patients, calls, minutes and cost this month, how many live keys it has, and Set up to change its hours and line. | Owner, on the Scale plan |
| Keys & integrations | Every key for this pharmacy and each branch: its name, its first characters, when it was last used, and whether it is revoked. | Owner |
Tips & good to know
- Give each system its own key, named after it, so you can revoke one without stopping the others.
- A revoked key stays in the list, marked Revoked, so you can see what was cut off and when.
- The Keys column on Branches counts live keys only.
Troubleshooting
| Problem | What to try |
|---|---|
| Create key or Revoke is missing | Only the pharmacy owner can manage keys. |
| I closed the dialog before copying the key | It can't be shown again. Create another, then revoke the one you didn't copy. |
| The PMR feed is refused with "isn't connected to a PMR" | Choose the PMR in Phone line → Patient and prescription data — for a branch, with the branch chosen at the top — then ask the supplier to send again. |
| A key still says Never used | The system hasn't sent anything with it yet. Check it was entered as an Authorization: Bearer header. |
| I can't find Branches, Phone line or Agent API keys anymore | They are all on Pharmacy now. Old links open the right section. |
