Patients and prescriptions
Prescriptions
Track each prescription from received to collected, so the AI agent can tell callers exactly where theirs is.
What it does
A prescription records an item received for a patient and where it is in the dispensing flow: Received → In progress → Ready → Collected (or Cancelled). This is the information the AI agent reads back to the ~80% of callers who ring to ask "is it ready?".
Where to find it
- Header → Prescriptions (
/dashboard/prescriptions) — every prescription across the pharmacy. - A patient's prescriptions also appear on their page (Patients → a patient).
Step by step
Add a prescription
- On Prescriptions, click Add prescription (or Add on a patient's page, which pre-selects that patient).
- Choose the patient, enter the item, set the status (defaults to Received), and optionally the received date and source (e.g. the surgery).
- Click Add prescription.
Add a prescription without opening the form
Click Add prescription at the bottom of the table, choose the patient, type the item and press Add. Use this when entering a batch from the surgery; the button at the top opens the full form.
Update the status
Use the status dropdown on any prescription row (on the Prescriptions page or the patient's page). Choosing Ready stamps the ready time; Collected stamps the collected time — automatically.
Unlike other values in the table, the status waits for the change to be saved before it shows. It is what the agent reads back to callers, so it never shows Ready before your records actually say so.
Find the ones you are looking for
- Search by patient, item, reference or source — and by a prescription's notes, which no column shows.
- Filter the Status column to just Received and In progress to see what is still to do, or the Patient or Source column to one name.
- Sort by Received or Ready to work oldest first.
- Save that arrangement under Views so it is one click tomorrow morning.
See Lists and tables for all of it.
Correct an item, reference or source
Click the value with a pencil beside it, type the correction, press Enter.
Repeat or delete a prescription
Click ⋯ at the end of a row, or right-click it:
- Duplicate: a new prescription for the same patient and item, starting again at Received. It never copies a status your records have not re-earned.
- Delete: removes the item, and the agent stops reading it back. Confirm first; the audit trail is kept.
What each screen shows
- Prescriptions list — patient, item, an inline status control, received and ready dates, and (behind Columns) reference and source.
- Patient page → Prescriptions — the same, scoped to that patient, with add and delete.
Tips & good to know
- Status changes and additions are written to the audit log against the patient.
- If your pharmacy system (PMR) has been connected, it can update prescription statuses automatically instead of them being entered by hand — see the Phone line guide.
Troubleshooting
- "Patient not found" when adding — the patient must belong to your pharmacy; add them under Patients first.
- Ready date didn't appear — it's only stamped when you move the status to Ready.
