Getting Started

Your first few minutes with PharmaLineAI: signing in, finding your way around the dashboard, and the basics every team member needs.

What it does

PharmaLineAI answers your pharmacy's routine phone calls, books services into your calendar, and routes anything complex to your team. This guide gets you signed in and oriented.

Where to find it

  • The app lives at your PharmaLineAI web address.
  • Sign in at `/auth/sign-in`.

Step by step

Sign in for the first time

  1. Go to `/auth/sign-in`.
  2. The quickest way is Magic link: choose the Magic link tab, enter your email, and click Email me a magic link. Open the email and click Sign in — you're in. No password needed.
  3. Prefer a password? Use the Password tab. New here? Click Create an account, set a password, then verify your email from the link we send before you sign in.
  4. See Signing in & account security for social sign-in and passkeys.

Find your way around

  • The header starts with the PharmaLineAI logo (click it to come back to the Overview), then the main navigation, each with its own icon: Overview · Calls · Training · Patients ▾ · Bookings ▾. Patients opens Patients and Prescriptions; Bookings opens Bookings and Services. On those pages a row of tabs under the header switches between the two.
  • On the right: the ? help menu, the light/dark theme toggle, and your initials — the account menu, with Agent test console, Usage & billing, Branches, Settings and Sign out.
  • On a phone, the ☰ menu button lists every page.
  • Every page has a book icon beside its title. Click it to open the guide for that page, in a new tab, at the part that explains it. The ? menu has the same guide, plus Getting started, All guides and What's new.

Read the overview

The Overview page shows today at a glance: calls today (and what % the AI handled), prescriptions ready, upcoming bookings, and patients on record.

Every number opens the list behind it, already filtered:

  • Prescriptions ready opens Prescriptions showing only the ready ones.
  • Upcoming bookings opens Bookings showing requested and confirmed ones.
  • Under Deflection — last 7 days, resolved and transferred open Calls filtered to those outcomes.
  • Each line of What callers asked opens the calls about that.

Clear the filter in the list's toolbar to see everything again.

Under the numbers, a row of quick actions goes straight to the things you do most: Review calls, Calls handed to the team, Book a service, Add a patient, Train the agent, Test the agent and Phone line settings.

What each screen shows

  • Overview — the headline numbers for today, each one a link to the rows behind it, and quick actions.
  • Calls — every inbound call the AI handled or transferred, with its intent and outcome. Click a caller to read the call line by line.
  • Training — what the AI agent works from, the training your pharmacy has added, and corrections from reviewed calls (see the Agent training guide).
  • Prescriptions / Patients / Bookings / Services — your records in each area.
  • Settings — your pharmacy details, your sign-in and security, your plan, the AI phone line and agent API keys, each in its own section (see the Settings guide).
  • Guides (? → All guides) — every guide, readable inside the app.

How the dashboard responds to you

  • Changes you make show straight away. Setting a booking's status, or deleting a patient or a service, updates the screen the moment you click, with a small spinner on the control that is saving. If the save is refused the change is undone and a message tells you why — so what you see is never quietly different from what was saved.
  • Two things are deliberately slower. A prescription's status and an API key wait for the server before they change on screen. A prescription's status is what the AI assistant reads back to callers, and an API key is a credential; neither should be shown as something it is not yet.
  • Moving between sections. A slim bar appears across the top of the window when a page is on its way, and the link you clicked shows its own spinner. Each section also shows a placeholder in the shape of the real page while it loads, so nothing jumps when the content arrives.

Tips & good to know

  • The person who sets up your pharmacy's account becomes its owner.

Troubleshooting

  • Didn't get the email? Check your spam folder and that the address is correct.
  • Bounced back to sign-in? Your session expired — just sign in again.
