Patients and prescriptions

Patients

Keep a record of the people your pharmacy serves, so the AI agent can verify callers and read back their prescription status.

What it does

The Patients area is your list of the people you serve. Each patient holds the details the AI agent uses to verify identity on a call (surname, date of birth, postcode) before sharing anything specific, plus their prescriptions and bookings.

Where to find it

  • Header → Patients (/dashboard/patients).
  • A single patient: click their name, or ⋯ → View (/dashboard/patients/<id>).

Step by step

Add a patient

  1. On Patients, click Add patient.
  2. Enter at least a name; add date of birth, postcode, phone, email and NHS number where you have them (DOB + postcode are what the agent checks on a call).
  3. Click Add patient. They appear in the list immediately.

Find a patient

Type in the Search patients… box above the table. It matches every column — including ones you have hidden — and a patient's notes, which no column shows. Sort by clicking a column heading, and choose which columns you see with Columns. See Lists and tables for the full set of controls.

Add a patient without opening the form

Click Add patient at the bottom of the table, enter a name (and date of birth and postcode if you have them), and press Add. Use this when entering several patients one after another; the Add patient button at the top opens the full form.

Correct a detail in the table

Click a value with a pencil beside it — name, date of birth, postcode, phone, email or NHS number — type the correction and press Enter. Escape leaves it as it was.

Edit, duplicate or delete a patient

Click ⋯ at the end of a row, or right-click the row. Both offer the same actions:

  • View: opens the patient's own page.
  • Edit: the full form, for changing several details at once.
  • Duplicate: creates a copy named "… (copy)" with the same contact details and no prescriptions or bookings. Useful for a second family member at the same address — rename the copy before you use it.
  • Delete: then confirm. This also removes their prescriptions and bookings. The audit trail is kept even after deletion.

Import patients from a CSV

  1. Click Import CSV (top right of Patients).
  2. Paste your CSV or choose a file. Recognised columns: name, dob, phone, email, postcode, nhsNumber, notes (column names are matched flexibly).
  3. Check the preview — rows without a name are skipped — then click Import.

What each screen shows

  • Patients list — name (links to the patient), DOB, postcode, and how many prescriptions they have, with an actions menu.
  • Patient page — their details, a Prescriptions card (add and update status), and any bookings.

Tips & good to know

  • Every time a patient record is opened, created, edited or deleted, an entry is written to the audit log (a GDPR requirement).
  • We treat NHS numbers as sensitive information.

Troubleshooting

  • Import skipped rows — those rows had no name; add one and re-import.
  • Can't find a patient — clear the search box; it filters the list.
