Lists and Tables
Every list in PharmaLineAI — patients, prescriptions, bookings, calls, branches and usage — works the same way. Learn it once and you can find, sort, filter and correct anything in the app.
What it does
Each list is a table you can work with rather than just read:
- Search everything in the list from one box.
- Sort by any column that can be ordered.
- Filter a column to just the values you want.
- Choose which columns you see, and hide the ones you do not need.
- Save the whole arrangement as a view, and come back to it later — from any device.
- Correct a value in place, without opening a form.
- Right-click a row for its actions.
- Add a record from the bottom of the table, where the list already is.
Where to find it
Every list screen in the dashboard:
- Navigation:
Patients→Patients— URL:/dashboard/patients - Navigation:
Patients→Prescriptions— URL:/dashboard/prescriptions - Navigation:
Bookings→Bookings— URL:/dashboard/bookings - Navigation:
Calls— URL:/dashboard/calls - Branches — URL:
/dashboard/branches(Scale plan) - Usage & billing, Per-branch breakdown — URL:
/dashboard/usage(pharmacy groups)
Step by step
Search the list
- Type in the Search… box above the table.
- The table narrows as you type, and a line underneath says how many rows matched.
- Press Clear to see everything again.
Search looks at every column, including ones you have hidden, and at a few things no column shows — a patient's notes, a prescription's notes, a call's summary. So "the one about the repeat inhaler" will find the call even though the summary is not a column.
Sort by a column
- Click a column heading.
- Click it again to reverse the order.
- Click a third time to go back to the list's own order.
The small arrows beside a heading tell you which columns can be sorted and which way the list is currently ordered.
Filter a column
- Click the small filter symbol beside a column heading — for example Status on Prescriptions.
- Tick the values you want to keep. The menu stays open so you can tick several.
- Click Clear this filter to remove it, or Clear above the table to remove every filter and the search at once.
A column only offers a filter when the list holds more than one value for it — filtering by a service when every booking is a flu vaccination would achieve nothing.
Choose which columns you see
- Click Columns above the table.
- Tick or untick columns. Your choice is remembered on this device.
- Show all columns brings everything back.
Hiding a column only changes what you look at. Search and filters still work on hidden columns, so nothing disappears from your results because you tidied the view.
Save an arrangement as a view
- Set the list up how you want it — search, sort, filters and columns.
- Click Views → Save this view.
- Give it a name, such as "Waiting, oldest first", and press Save view.
To use it again, click Views and pick it. To remove one, click the bin beside its name.
Views are saved to your account, not to the computer you are on — a view you set up in the dispensary is there on your phone. They are yours alone; a colleague's list is unaffected. Saving over a name you have already used replaces it.
Correct a value without opening a form
- Click a value with a pencil beside it — a patient's postcode, a prescription's item.
- Type the correction.
- Press Enter, or click elsewhere, to save it. Press Escape to leave it as it was.
If the change is refused, the box comes back with what you typed still in it and a message explaining why, so you can fix it rather than start again.
Not every value can be edited this way. A prescription's Status uses its own control, because it is what the AI agent reads back to callers.
Use a row's actions
Either:
- Click the … button at the end of the row, or
- Right-click anywhere on the row.
Both give the same actions. What is on offer depends on the list — View, Edit, Duplicate and Delete on Patients; Duplicate and Delete on Prescriptions; Book again in a week and Delete on Bookings.
Add a record from the table
- Click Add … at the bottom of the table.
- Fill in the two or three fields it asks for.
- Press Add.
This is for entering several records quickly. For everything else about a record, use the Add button at the top of the screen, which opens the full form.
Move through a long list
- Rows sets how many you see at a time — 10, 25, 50 or 100.
- The arrows move a page at a time, or jump to the first or last page.
- The count on the left says which rows you are looking at, out of how many.
What each screen shows
| Part of the screen | What it is |
|---|---|
| Search box | Narrows the list as you type |
| Clear | Removes the search and every column filter |
| Column headings | Click to sort; the arrows show the current order |
| Filter symbol beside a heading | The values that column holds, to tick or untick |
| Columns | Which columns are shown; the badge counts how many of how many |
| Views | Your saved arrangements for this list |
| The first column | Stays in place when a wide table is scrolled sideways |
| … at the end of a row | That row's actions, the same as right-clicking it |
| Add … under the last row | Quick entry without opening a form |
| Rows and arrows | How many rows per page, and moving between pages |
Tips and good to know
- On a narrow screen, tables scroll sideways and the first column stays put, so you always know which row you are reading.
- Some columns are hidden on phones by design — they come back on a larger screen, or you can look at the record itself.
- Clear removes filters and the search, but leaves your column choices alone: those are how you have set the table up, not what you were looking for.
- Filtering while on a later page brings you back to the first page of the new results, rather than leaving you on a page that no longer exists.
Troubleshooting
| Problem | What to try |
|---|---|
| Rows seem to have disappeared | Look for the line under the search box saying how many matched, and press Clear. A column filter may still be on. |
| A column I need is not there | Click Columns and tick it. Some columns are hidden on small screens — try a larger one. |
| A column heading will not sort | Not every column can be ordered — only those showing the sort arrows. |
| A column has no filter symbol | The list holds only one value for that column, so a filter would change nothing. |
| My saved view is not in the list | Views belong to the person who saved them. If a colleague saved it, ask them to set it up on your account too. |
| My edit was not saved | The box reopens with what you typed and a message saying why. Correct it and press Enter again. |
| I cannot edit a value in the table | Only some values can be corrected in place. Use the row's Edit action for the rest. |
